01Three seconds instead of three minutes
Typing an invoice on a phone easily takes three minutes — pick a customer, add line items, enter amounts, review, save. People on the move postpone bookkeeping until the evening. The pile grows. Year-end closing turns nasty.
Voice input changes that. You tap the microphone button in the AI assistant, say what you need, and einzly creates the invoice draft in seconds. In standard German — Swiss accent is no problem. You land directly in the prepared modal and can send or refine.

Tradesperson on a construction site
The job at the Müller family is finished — the invoice should go out today. Instead of putting away tools, pulling out the phone and filling ten fields, you just say:

Therapist between two sessions
Five minutes between two clients. Enough time for coffee — or for three open items from last week. You dictate:

On the way to the next workshop. The latest gas receipt is on the passenger seat, the lunch receipt sits in your wallet. Instead of recording them later (or never), you say while parking:

03Asking questions also works by voice
Voice isn't only for input — you can request information just as easily. The AI has read-only access to all your accounting data and answers instantly:
- «How many open invoices do I have?»
- «What's my revenue in April?»
- «How much did I spend on marketing this year?»
- «When's the next VAT deadline?»
Useful before a tax advisor meeting, at quarterly closing or simply to get a quick overview.
04How does it work technically?
You tap the microphone icon. The browser asks for microphone permission once — after that a single tap is enough. einzly records audio, stops automatically after two seconds of silence (or via the «Done» button), sends the audio to the speech-to-text service and passes the transcript to the AI assistant.
From there the workflow is identical to the regular chat: the AI understands your request, looks up matching customers and services from your catalog (with typo tolerance) and creates the document. You get a direct link to the modal to open, review and send it.
05Privacy: where does the audio go?
Audio recordings are sent to OpenAI (USA) for transcription — separately from the AI assistant itself, which runs on Anthropic in the EU. Important:
- Transmission is encrypted (TLS).
- Audio is not used for AI training (OpenAI API standard).
- Maximum 30 days of storage for security and abuse review, then deletion.
- Only the audio is transmitted — no master, customer or accounting data.
- Cross-border transfer to the USA is covered by Standard Contractual Clauses (SCCs).
- You can ignore voice and use text input anytime — same functionality.

06When is voice worth it?
Voice doesn't replace the normal accounting UI — it's an additional input channel that shines exactly when typing is awkward:
- On the move: construction site, car, train
- Between appointments: therapist, coach, consultant
- For spontaneous entries: cash income, gas receipt
- Quick queries: revenue, open invoices, VAT deadline
For complex tasks (multiple line items, attachment review, PDF tweaks) the regular UI remains the right tool. But for the quick 80% of accounting tasks, voice is a game changer.
07Try voice
Voice is part of the AI add-on (CHF 5/month) and included at no extra cost in the 30-day trial. You don't need a new subscription — if you already use the AI assistant, voice is automatically available. More info on AI accounting in einzly.
