01What the integration does
The wallee integration connects your wallee account directly with your accounting in einzly. As soon as a payment comes in via your terminal or online checkout, the rest happens automatically:
- Automatic sync of all successful wallee payments as income — terminal and online
- Tips are included automatically: einzly books the full amount paid, exactly as it arrives in your account
- If wallee shows a fee on the transaction, it is booked automatically as an expense (category: bank charges)
- Refunds are recorded as negative income — VAT-correct (more on that below)
- Voided payments are balanced out automatically
- The receipt is linked automatically — the wallee transaction serves as proof
- Duplicate detection — the same payment is never booked twice
- Daily automatic sync, plus a manual sync at the click of a button
02How to connect wallee with einzly
Setup takes just a few minutes. You need an active wallee account and create an application user there once — that is how einzly reads your payments securely.
Sign in to your wallee account at app-wallee.com.
At the account level, go to Application Users and create a new application user. Note down the user ID and the authentication key — the key is only shown once.
Important: assign a role (e.g. administrator) to the application user in your space. Without a role, einzly cannot read any payments — the connection would be valid but stay empty.
You will find the space ID in the space overview or directly in the URL of your wallee dashboard.
In einzly, open Settings → Integrations → wallee, paste the space ID, user ID and authentication key and click "Connect". Optionally pick a start date to import past payments. From now on, einzly syncs automatically every day.
03What is booked automatically?
For every successful payment, einzly creates an income entry over the full amount paid — including tips. If wallee shows a fee on the transaction, it is added automatically as a separate expense. That way your accounting cleanly separates what you earned and what payment processing costs.
A concrete example
A customer pays CHF 50.00 at your terminal and adds a CHF 5.00 tip — CHF 55.00 is charged in total. einzly books the transaction like this:
| What | Amount | Category | Receipt |
|---|---|---|---|
| Income: "wallee payment" | CHF 55.00 (incl. CHF 5.00 tip) | Payment received | wallee transaction |
| Expense: "wallee fee" (if shown) | e.g. CHF 0.83 | Bank charges | wallee transaction |
Why tips are part of your income
If you are self-employed without staff, tips count as part of your remuneration: they belong to your revenue and are taxable if you are VAT-registered. That is why einzly books the full amount paid, including the tip, as income — exactly as it arrives in your account. That is correct for your books and matches your bank statement.
And what about refunds?
If you refund a customer, einzly books this as negative income (revenue reduction) — not as an expense. That is the correct accounting approach: your reported revenue decreases, and if you are VAT-registered, the VAT reverses correctly and automatically. Booking a refund as an expense would artificially inflate your revenue — exactly what einzly avoids.
04When does syncing happen?
- einzly syncs your wallee payments automatically every day
- You can also trigger a manual sync in the settings at any time
- When connecting, you can optionally pick a start date to import past payments
- Only successful payments are imported — open or failed payments are ignored
