01Why switching is easier than you think
Many sole proprietors stay with accounting software that is too complicated or too expensive for years — just because «everything is in there». The good news: you do not have to rebuild your entire history to switch.
For your income and expense statement, only the current financial year matters — previous years are closed and remain as a PDF archive. What you actually need in the new place: your client base, your services, the income and expenses since 1 January and the invoices that are still open. That is the full scope of the move — nothing more.
02What you do yourself — in a few minutes
Two data types you import directly into einzly, without any help from us:
- Client base: Export it as CSV from your old tool and upload it to einzly. einzly detects the columns automatically and shows you a preview — see the guide Importing clients via CSV.
- Services and prices: Your service catalogue (items, descriptions, prices) can be imported as an Excel or CSV file — so your first invoice in einzly looks just like before.
03What we take care of for you — free of charge
The part everyone dreads is our job: send us your exports from the old tool — especially all invoices and expenses — and we carry out the data migration for you. Properly booked, not just dumped somewhere:
- Expenses: We import your current-year expenses with date, amount, category and VAT — your income and expense statement is correct from day one.
- Paid invoices: We book them as income (one entry per invoice, with invoice number and client) — so revenue, your statement and the VAT return are correct without rebuilding old PDFs.
- Open invoices: We create them as sent invoices — so you can keep sending reminders seamlessly and no receivable gets lost.
04The checksum guarantee
How do you know everything is correct after the move? Simple: we reconcile the total of imported income and expenses against your reported annual revenue and costs — to the centime. Only when the checksums match is the migration considered complete. You do not have to trust us, you can verify it.
05Checklist: what we need from you
| Data | Format | Who does it? |
|---|---|---|
| Client base | CSV export from the old tool | You — import into einzly |
| Services & prices | Excel or CSV | You — import into einzly |
| Current-year expenses | CSV/Excel export | We do |
| Paid invoices, current year | Invoice list (CSV/Excel) | We do |
| Open invoices | List with number, client, amount, due date | We do |
| Annual revenue & costs (checksum) | Figure from the old tool | You provide it, we reconcile |
| VAT status | liable yes/no, effective or net tax rate | Short note from you |
06What happens to the old tool?
Before you cancel: export all invoice PDFs and reports of previous years. In Switzerland, business records must be kept for 10 years — electronically is fine, as explained in Keeping receipts in Switzerland. The old PDFs remain valid; there is no reason to rebuild them in the new system.
07Ready to switch?
Leave us your name and your current tool — we will contact you, tell you exactly which exports we need and take care of the rest. That is how we work in general: software plus real service, as described in Accounting software with service.
